Product Summary
Database Activity consists of four separate utilities that monitor database user activity by analyzing the user activity log in one or more Notes databases. Below is a brief description of each one.
Database Activity 3.0 has been successfully tested with ND7, ND8 and ND8.5 as well as Windows Vista operating system.
Key Features:
- Identify databases that have never been used or that haven't been used recently.
- Identify users that have not accessed their own mail files recently to find users that may have been terminated.
- Identify the last date a database was used and the last person to use it.
- Identify users that have large numbers of reads in sensitive databases.
- Track detailed database activity for selected databases beyond the 1400 user activity entries maintained by Notes.
Activity Summaries:
Get rid of your unused databases. Database Activity identifies databases that have never been used or haven't been used in a long time.
- Sample use 1: Identify databases that are not being used and delete them to clean up your servers.
- Sample use 2: Many of our customers tell us that they use Activity Summaries to identify users who have left the company by checking the activity of all mail files. If a user's mail file isn't being used, the user is probably gone.
- Sample use 3: Other customers have told us that they use Activity Summaries to identify and get rid of unused databases before migrating to Notes Domino 6. Why go to the trouble of migrating and testing a database that isn't even being used?
Activity Summaries creates a document for each selected database on a server and records the number of reads and writes for the last day, week, month and for the entire recorded history. This information can be very useful for locating databases that have never been accessed, databases that have very little activity, or databases that haven't been accessed by anyone for quite a while.
This utility also allows you to exclude user activity entries for specific servers or users to eliminate entries created by server to server replication or for administrators performing routine maintenance.
Mail File Activity:
Scans the user activity log of mail files to determine
- If users are reading their mail (users that have not read their own mail recently may have been terminated)
- If non mail file owners are reading or writing to someone else's mail file. This tool can be useful as part of a security audit.
Activity Alarms:
Activity Alarms monitors database(s) for a high number of reads and/or writes. If a user reads or writes more records than the threshold that you set, an alarm is generated and either mailed to the specified person or recorded in the Activity Alarms database or both.
This utility can be useful if you have a database with sensitive information and you want to know whenever a user has a high number of reads. This could indicate a user printing a large number of documents or copying/replicating the entire database. You can optionally specify users or servers that will not generate an alarm no matter how many reads or writes they have.
Activity Details:
Activity Details keeps detailed user activity records on all specified databases. Allows you to see all reads and writes for a specific database. This utility can be particularly useful if you want to view activity sorted by user, number of reads or writes, or activity date.
This utility can also be helpful if you have a very active database. Each database retains no more than 1400 user activity entries. If you have a very active database this might only be a few days worth of activity. If you want to keep an activity history for a longer period of time, this utility can help.
